Accessing Squarespace and your Scheduling information

In order to access your Calendar and to view Customer Intake Forms you will need to create a SquareSpace account via the “Accept Invitation” link provided in the “Contributor Invitation” email sent to your work email address.

After clicking on this link, please use your @wlv.ac.uk work email to create a SquareSpace account.

You can set any password you choose as this is personal to you.

Once you have created an account, you will be redirected to a page which will show your access permissions.

For most people, this will be “Scheduling” where you can:

  • Set your availability for each Appointment Type assigned to you

  • View your calendar and upcoming appointments

  • Check and download Informed Consent and Pre-Test Questionnaire forms

  • Check information for a customer, such as their unique code for any Package they have purchased (e.g. Heat Chamber, block of 10), which they may have lost

  • Book customers into appointments and send them a payment link, should they be unable to use the website to book themselves

Appointment Confirmations

Appointment confirmation emails are sent to the customer as well as reminders 48 hours before.

In the confirmation, they can edit their Intake Forms, change or cancel appointments and find information on testing*.

An “Appointment Scheduled” notification will also be sent to the practioner’s work email address as well as the healthandperformance@wlv.ac.uk admin email address.

*Intake Forms and Test Descriptions only applicable to Physiology and Biomechanics testing.

Scheduling Policies

  • Customer buying and using a Package (block of appointments), including use of a customer account

    Note: Customers can create an account before or after booking a session, to save their Intake Form details and so their code for redeeming sessions in a package are saved. This customer already has an account so is prompted to log in when they try to create one.

To secure an appointment via our online scheduling system, you are required to pre-pay for the desired service.

Cancellation policies

If you have to cancel your appointment, you will receive a full refund if cancelled within 7 days of the appointment. Refunds are not available for cancellations made within 7 days of your appointment, but you will be able to reschedule.

If you need to rearrange your appointment, please refer to your booking confirmation email.

Pre-appointment policies

If you are booking a biomechanics test, you will be directed to complete and submit and Informed Consent Form and Pre-Test Questionnaire.

If you are booking a physiology test, you will be directed to complete and submit and Informed Consent Form, Pre-Test Questionnaire and Questionnaire for potential participants in projects involving blood analysis.

These forms will be accessible via your booking confirmation email should you need to update them.
